Galio Research vs Bookends
Bookends is one of the best reference managers money can buy, if and only if all of your devices are made by Apple. It is $74.99 up front, macOS and iOS only, with a separate iOS purchase and updates tied to a two-year window. If you cross platforms, share with Windows colleagues, or want annotation AI, Galio Research puts your papers, PDF reader, annotations, and AI search in one browser-based workspace from $4/month.
Bookends is a polished, actively developed, deeply Mac-native reference manager: a full PDF reader with annotation extraction, iCloud sync, citation scanning for Word, Mellel, and Nisus, floating citations, and even MCP-based AI assistant support. It is also Apple-only, $74.99 with two years of updates, and $49.99 upgrades after that. Galio Research runs in any browser on any operating system, with a built-in PDF reader, a searchable annotation manager, an integrated annotated bibliography, AI-powered annotation search, and your papers on your own Google Drive, from $4/month after a 3-day free trial. All-Apple power user? Bookends. Everyone else? Galio.
These are the most common reasons Bookends users start searching for something new, and where Galio Research takes a different approach.
Bookends runs on macOS and iOS. No Windows version, no Linux version, no web version. One departmental Windows PC or a collaborator's laptop and your library is out of reach.
A single-user license costs $74.99 and includes two years of updates; staying current after that means a $49.99 upgrade. There is also a separate purchase for the iOS app.
Syncing rides on iCloud, which is seamless inside the Apple world and nonexistent outside it. Your PDFs live in Apple's cloud, not storage you control independently.
Borrowed machines, library computers, and a colleague's office all require Bookends to be installed. There is no sign-in-from-anywhere web app.
Metatypes, term lists, citation inspectors, hypertext links: power for those who climb, frugality of attention for those who do not. Simple workflows take longer to find.
Annotation extraction and note streams are excellent on the Mac, but there is no natural-language search across your entire library's highlights and no AI paraphrasing.

We are a small team shipping improvements constantly. The gaps in the Galio column are exactly the kind of things we are working to close as the product grows.
Mac at home, Windows PC at the lab, a Chromebook on travel, Android in your pocket: your library is one browser sign-in away on all of them.
$4/month Basic and $9/month Plus, billed monthly, with all updates included. No license windows, no upgrade decisions every two years, no separate iOS purchase.
Smart Annotation Search understands natural language: "What did I highlight about causal inference?" finds the exact annotation across your whole library.
Write how each paper relates to your work right next to the reference, then paraphrase it, manually or with AI, into manuscript-ready text.
Your papers live in your own Google Drive, independent of iCloud and of any single vendor. Leave anytime and your files leave with you.
Folders, tags, and the include feature put the same paper in as many projects as you need without duplicates. No multi-level folder archaeology.
Add your own columns and summarize papers side by side inside Galio, with every cell autosaved next to your papers, instead of a spreadsheet that drifts out of sync with your library.
We would rather be honest than salesy. These are real Bookends strengths:
Deeply Mac-native. AppleScript support, Finder-compatible file tags, live searches, and an interface that feels at home on macOS. Galio is a web app by design.
Superb word-processor integration. Citation inspectors in Word and Mellel, floating citations on a double-tap of Control, and manuscript scanning for Word, Pages, LibreOffice, and RTF. Deeper word-processor integration is on our radar, not in our app yet.
Annotation extraction with deep links. Pull highlights out of one, several, or all PDFs at once, with links that jump straight back to the passage.
A dedicated iOS app. A real reference manager on iPhone and iPad that syncs with the Mac, not a browser tab.
Fully offline and AI-assistant friendly. The native app works without internet and supports MCP-based assistants. Galio is cloud-based and requires a connection.
We are always working towards helping researchers: deeper word-processor integration and offline access are the two gaps we hear about most, and there is a real possibility they get solved as Galio grows. Check back.
Most people rebuild their active library in an afternoon. Here is the low-friction path:
Export your references from Bookends as RIS or BibTeX. It is your metadata backup: you may not need it, but you will sleep better.
Collect your attachments from the folder where Bookends organizes your PDFs and files.
Upload your PDFs to Galio Research and connect your Google Drive for storage. New papers you find online import in one click with the browser extension.
Recreate your folder hierarchy as projects, with tags and the include feature so one paper can live in many projects without duplicates.
Export your annotations if you rely on them, and keep Bookends installed until your last manuscript with live citations is submitted.
