Galio Research vs Citavi
Citavi is a respected reference manager, especially at universities in Germany, Austria, and Switzerland. But if you are on a Mac or Linux machine, living in the browser, or want annotation and AI features without an enterprise license, Galio Research puts your papers, PDF reader, annotations, and AI search in one modern workspace that runs anywhere.
Citavi is a feature-rich reference manager with a genuinely unique approach to knowledge organization and 11,000+ citation styles. But its native app is Windows only: Mac support was discontinued in 2011, and Citavi Web only arrived in 2022. Google Docs users get copy and paste instead of a plugin. Galio Research runs in any browser on any operating system, with a built-in PDF reader, a searchable annotation manager, an integrated annotated bibliography, AI-powered annotation search, 10,000+ citation styles, and storage on your own Google Drive, from $4/month after a 3-day free trial.
These are the most common reasons Citavi users start searching for something new, and where Galio Research takes a different approach.
Citavi's desktop app is Windows only. On a Mac you are pointed to a virtual machine or to Citavi Web, which only arrived in 2022 and remains the younger, lighter product.
Citavi 7 is the full product on Windows; Citavi Web is still catching up. Which features you get depends on which app you open, and heavy users are nudged toward the desktop.
Officially: a full add-in for Microsoft Word, but for Google Docs Citavi suggests copying formatted citations over. No live plugin, no citing as you write in the browser.
Citavi is owned by Lumivero, a private-equity-backed portfolio that also includes NVivo and ATLAS.ti. Institutional deployments drive the roadmap; individual researchers are not the priority customer.
Powerful but dense: menus, panes, and settings accumulated over 30 years. New users regularly describe the ramp-up as steeper than modern web tools.
Free Citavi access comes from university site licenses, concentrated in German-speaking countries. Everyone else buys individual licenses through the Lumivero store.

We are a small team shipping improvements constantly. The gaps in the Galio column are exactly the kind of things we are working to close as the product grows.
Open a browser tab and you are working. No virtual machine, no Web-only compromise, no waiting for the desktop app to catch up to your operating system.
Reference manager, PDF reader, annotation manager, and annotated bibliography in a single web app that looks and behaves the same on every machine you touch.
Your papers live in your own Google Drive. If your university gives you unlimited Drive storage, your library is effectively unlimited. No 5 GB ceiling on your attachments.
Smart Annotation Search understands natural language: "What did I highlight about climate impacts on agriculture?" finds the exact annotation. No keyword archaeology.
Write how each paper relates to your work right next to the reference, then paraphrase it, manually or with AI, into manuscript-ready text. No Excel, no copy-paste.
$4/month Basic and $9/month Plus, billed monthly. No license negotiation, no store checkout, no dependence on whether your university bought a site license.
Add your own columns and summarize papers side by side inside Galio, with every cell autosaved next to your papers, instead of a spreadsheet that drifts out of sync with your library.
We would rather be honest than salesy. These are real Citavi strengths:
Knowledge organization is genuinely special. Quotation types, categories that become your outline, and drag-and-drop structure before writing. Citavi's approach to turning reading into a paper is unique.
A built-in task planner. Deadlines, tasks linked to specific PDF passages, and assignments for team members.
A mature Word add-in. Citations and quotations flow into Word without leaving it, with LaTeX and LyX support on top. Galio generates formatted citations in-app instead, and deeper word-processor integration is on our radar.
11,000+ citation styles. With an advanced style editor and a style request service for journals they do not have yet.
Free at many universities. Site licenses across Germany, Austria, and Switzerland. If your campus has one, that is a very good deal.
Offline work on Windows. The desktop app runs without internet. Galio is cloud-based and needs a connection.
We are always working towards helping researchers: deeper word-processor integration and offline access are the two gaps we hear about most, and there is a real possibility they get solved as Galio grows. Check back.
Most people rebuild their active library in an afternoon. Here is the low-friction path:
Export your Citavi project as RIS or BibTeX. It is your reference-metadata backup: you may not need it, but you will sleep better.
Gather your PDFs from Citavi's storage or the local folders where your project keeps them.
Upload your PDFs to Galio Research and connect your Google Drive for storage. New papers you find online import in one click with the browser extension.
Recreate your structure with folders, tags, and the include feature: one paper, many projects, zero duplicates.
Keep Citavi installed until you are comfortable. If your site license lapses after graduation, your Galio library travels with you.
