Galio Research vs Mendeley
Mendeley used to be the easy recommendation. Then the Elsevier redesign split it into pieces that sign you out, sync slowly, and trap your annotations. Galio Research is a modern alternative: one app for papers, PDF reading, annotations, and AI search, with storage on your own Google Drive.
Mendeley is still free and still bundles 2 GB of storage with a slick interface. If that is all you need and the sync quirks do not bother you, it remains a reasonable pick. But between the forced re-logins, the Word add-in disappearing, no Google Docs support, and annotations that never leave Mendeley, many researchers have simply had enough. Galio Research keeps the good parts (easy importing, a clean interface) and fixes the painful ones: every annotation is searchable in one manager, your annotated bibliography lives next to each reference, AI finds the highlight you half remember, and your PDFs stay in your own Google Drive, all from $4/month after a 3-day free trial.
A decade ago Mendeley was a favourite. These are the complaints that show up most often since the Elsevier redesign, and how Galio Research approaches the same problems.
The classic desktop app was retired in favour of the split Reference Manager + Mendeley Cite. Long-time users report crashes on startup, features quietly disappearing, and a workflow that got slower with every update.
Desktop app, web importer, Word add-in: three separate logins, all of them expiring at their own pace. "Please sign in" interrupting a writing session is one of the most cited reasons for switching.
Mendeley Cite works with Microsoft Word only. If you write collaboratively in Google Docs, you are on your own, a gap Mendeley has never closed.
Highlights and notes made in Mendeley do not export with your PDF files. Your thinking is locked inside someone else's cloud, a real problem when you want to switch tools or archive your work.
Wrong or missing issue numbers, publication years, and page numbers from non-PubMed sources, plus unreliable duplicate detection, mean manual cleanup becomes part of your week.
Papers cited in the browser take ages to appear in the library, Word plugins do not auto-sync until restarted, and everything stalls when the internet does.

We are a small team shipping improvements constantly. The gaps in the Galio column are exactly the kind of things we are working to close as the product grows.
Papers are stored in your own Google Drive, not a proprietary cloud you have to beg for an export from. Leave anytime and your library leaves with you.
Every highlight lands in one annotation manager: tag it, search it, reuse it while writing. No highlights trapped per document, no lost evidence when you finally sit down to write.
Reference manager, PDF reader, notes, and bibliography in one place. No juggling a desktop app, a web importer, and a Word add-in that each demand their own session.
Smart Annotation Search understands natural language: "What did I highlight about climate impacts on agriculture?" finds the exact annotation, something no keyword box in Mendeley can do.
Write how each paper relates to your work right next to the reference, then paraphrase it, manually or with AI, into manuscript-ready text. No Excel, no copy-paste.
University Drive plans are often effectively unlimited, usually far beyond Mendeley's 2 GB. Folders, tags, and the include feature keep one paper in many projects without duplicates.
Add your own columns and summarize papers side by side inside Galio, with every cell autosaved next to your papers, instead of a spreadsheet that drifts out of sync with your library.
Fair is fair. Mendeley still has real strengths:
Free with 2 GB bundled. No subscription at all if 2 GB covers you. Galio Basic is $4/month: affordable, but not free.
A slick, easy onboarding. The interface remains approachable for less technical users, with a mobile app and browser bookmarklets to match.
A dedicated mobile app. Galio is a web app that works in mobile browsers, but Mendeley ships native apps.
The Elsevier ecosystem. If your workflow already runs through ScienceDirect and Scopus, Mendeley plugs into it natively.
Institutional familiarity. Many universities document and support Mendeley, so switching sometimes means going against institutional grain.
We are always working towards helping researchers: a dedicated mobile app and deeper word-processor integration are the gaps we hear about most, and there is a real possibility they get solved as Galio grows. Check back.
Most people rebuild their active library in an afternoon. Here is the low-friction path:
Export your Mendeley library as BibTeX or RIS. It is your reference-metadata backup, so keep it somewhere safe.
Download your PDFs from Mendeley. Since Mendeley annotations do not export with PDFs, highlights made in Mendeley will not come along, so plan to re-create the few you still need.
Upload your PDFs to Galio Research and connect your Google Drive for storage. New papers you find online import in one click with the browser extension.
Recreate your structure with folders, tags, and the include feature: one paper, many projects, zero duplicates.
Keep Mendeley around until you are comfortable. Your export file remains the fallback, and you can move at your own pace.
