Galio Research vs Paperpile
Paperpile is a clean, fast reference manager that Google Workspace users love. But everything runs through a Google account: sign-in is Google only, signup needs Chrome, billing is annual only, and annotations sit behind the Expert tier. Galio Research gives you the same modern web experience with any email, in any browser, monthly.
Paperpile is genuinely good at what it does: a Gmail-like interface, best-in-class Google Docs citing, automatic metadata cleanup, and unlimited storage in your Drive. But you need a Google account to sign in at all, you must sign up in Chrome (Safari and Firefox are still in beta), billing is annual only, and notes, PDF annotations, and full-text search require the Expert plan. Galio Research works with any email in any browser, bills monthly, and includes the PDF reader, annotation manager, and annotated bibliography in Basic at $4/month, with Plus at $9/month adding AI annotation search and paraphrasing. Storage rides on your own Google Drive, and a 3-day free trial needs no credit card.
These are the most common reasons Paperpile users start searching for something new, and where Galio Research takes a different approach.
Sign-in is Google only. A university or personal email that is not a Google account means no access, full stop.
Paperpile's own site says sign-up currently requires Chrome, with Safari and Firefox support in beta. New users on other browsers cannot even create an account in them.
The pricing FAQ answers "Can I pay monthly?" with a plain no. You commit for a year, and cancellation takes effect at renewal, not next month.
Notes, PDF annotations, and full-text search across your PDFs all require the Expert plan: $5.75/month per user with the academic discount, $11.50 without.
PDFs sync through Google Drive, and other cloud options are in beta. If your relationship with Google changes, so does your workflow.
Paperpile is a focused collection and citing tool. There is no annotation search, no AI paraphrasing, and no way to ask questions across your own highlights.

We are a small team shipping improvements constantly. The gaps in the Galio column are exactly the kind of things we are working to close as the product grows.
No Google account requirement and no Chrome-only signup. Firefox, Safari, Edge: your library is a website, not an extension of one ecosystem.
No annual lock-in. Try it free for 3 days, pay $4/month, and stop next month if it is not for you.
The built-in PDF reader, highlights, and the annotation manager are in the $4 Basic plan, not reserved for a higher tier.
Smart Annotation Search understands natural language: "What did I highlight about climate impacts on agriculture?" finds the exact annotation. No keyword archaeology.
Write how each paper relates to your work right next to the reference, then paraphrase it, manually or with AI, into manuscript-ready text. No Excel, no copy-paste.
Papers live in your own Google Drive, with your plan's capacity. The same foundation Paperpile builds on, without the account lock-in around it.
Add your own columns and summarize papers side by side inside Galio, with every cell autosaved next to your papers, instead of a spreadsheet that drifts out of sync with your library.
We would rather be honest than salesy. These are real Paperpile strengths:
Best-in-class Google Docs citing. The Docs plugin is Paperpile's flagship: search, insert, and format citations without leaving your document. Galio generates formatted citations in-app instead, and deeper word-processor integration is on our radar.
Metadata cleanup. Automatic metadata fixing, duplicate detection, and PDF retrieval through your library proxy keep a messy import tidy.
A polished, fast interface. The Gmail-like layout remains one of the nicest in the category.
Real mobile apps. Native iOS and Android apps for reading and organizing on the go.
Unlimited storage. PDFs live in your Google Drive with no cap on Paperpile's side.
A mature ecosystem. Browser extension, integrations with academic databases and publishers, BibTeX and LaTeX support, and automatic BibTeX sync for Overleaf on Expert.
We are always working towards helping researchers: deeper word-processor integration and offline access are the two gaps we hear about most, and there is a real possibility they get solved as Galio grows. Check back.
Most people rebuild their active library in an afternoon. Here is the low-friction path:
Export your Paperpile library as BibTeX. It is your reference-metadata backup: you may not need it, but you will sleep better.
Leave your PDFs where they are. They already live in your Google Drive: connect the same Drive account to Galio Research and there is nothing to re-upload.
Import your references and keep collecting with the Galio browser extension: new papers import in one click as you find them online.
Recreate your structure with folders, tags, and the include feature: one paper, many projects, zero duplicates.
Keep Paperpile until your annual term ends if you have one. Your export file remains the fallback, and you can move at your own pace.
