Galio Research vs RefWorks

The Modern RefWorks Alternative

RefWorks has been a library-workhorse for two decades, and in October 2026 Clarivate announced it is becoming part of EndNote Fusion. If your access depends on an institutional subscription, if you are graduating, or if you simply want annotation and AI features on a personal plan, Galio Research puts your papers, PDF reader, annotations, and AI search in one workspace that belongs to you.

TL;DR: the honest verdict

RefWorks is solid, cloud-based reference management with deep library integration, unlimited institutional storage, and a mature Word add-in. But it has no individual plan, your library dies with your affiliation, the product is now being merged into EndNote Fusion, and there are no AI features. Galio Research runs in any browser on any operating system with a built-in PDF reader, a searchable annotation manager, an integrated annotated bibliography, AI-powered annotation search, and your papers stored on your own Google Drive, from $4/month after a 3-day free trial.

Why researchers look for a RefWorks alternative

These are the most common reasons RefWorks users start searching for something new, and where Galio Research takes a different approach.

RefWorks is becoming EndNote Fusion

In October 2026 Clarivate folded RefWorks into EndNote Fusion. If you were moved from Legacy RefWorks once already, this is migration number two in under five years.

Your library is not yours

Access is licensed to your institution. Graduate, change jobs, or move universities, and your account and its stored library are on borrowed time.

There is no individual plan

You cannot subscribe to RefWorks as a person. If your library does not subscribe, or stops doing so, the product is simply unavailable to you.

A track record of migrations

Legacy RefWorks was decommissioned in 2023 and users were pushed to New RefWorks. Now New RefWorks is becoming EndNote Fusion. Institutional tools move when vendors decide.

A dated interface

RefWorks works, but its web interface has aged. Researchers coming from modern tools routinely describe the reading and annotation experience as clunky.

No AI anywhere

No natural-language annotation search, no AI paraphrasing, no intelligent retrieval through your own highlights. Everything is manual searching and manual writing.

Where Galio Research wins

A plan for individuals, not committees

$4/month Basic and $9/month Plus, billed monthly. No procurement cycle, no library renewal, no waiting to see whether your institution keeps the product after a merger.

Your library survives graduation

Your account is personal and your papers live in your own Google Drive. Leaving a university does not put an expiry date on a decade of collected research.

Ask your library in plain English

Smart Annotation Search understands natural language: "What did I highlight about sampling bias?" finds the exact annotation. RefWorks has nothing comparable.

The annotated bibliography is built in

Write how each paper relates to your work right next to the reference, then paraphrase it, manually or with AI, into manuscript-ready text. No copy-paste into a separate doc.

A modern reading experience

A built-in PDF reader, folders, tags, and the include feature for one paper in many projects. The whole workspace was designed recently, not inherited from 2010.

No migration is ever forced on you

RefWorks users have been through Legacy, then New, now EndNote Fusion. Your Galio library is yours: we do not discontinue the product underneath you.

Evidence tables that stay attached to your library

Add your own columns and summarize papers side by side inside Galio, with every cell autosaved next to your papers, instead of a spreadsheet that drifts out of sync with your library.

Where RefWorks still wins

We would rather be honest than salesy. These are real RefWorks strengths:

  • Deep library integration. OpenURL resolvers link you straight to your institution's subscribed full text. Galio does not replicate that connection to your library's holdings.

  • Free where your library pays. If your institution subscribes, RefWorks costs you nothing with unlimited storage while you are affiliated. That is a very good deal.

  • A mature Word add-in. RefWorks Citation Manager inserts and formats citations inside Microsoft Word. Galio generates formatted citations in-app instead, and deeper word-processor integration is on our radar.

  • Librarian support. Generations of librarians know RefWorks, run training on it, and can troubleshoot it with you.

  • A long track record. Around since 2001 and proven at massive institutions. The EndNote Fusion transition is also being managed by Clarivate, a large vendor.

We are always working towards helping researchers: deeper word-processor integration and offline access are the two gaps we hear about most, and there is a real possibility they get solved as Galio grows. Check back.

Who should switch, and who should stay

Switch to Galio Research if you...

  • Are graduating or changing institutions and want to keep your library
  • Were moved from Legacy RefWorks and dread another migration
  • Want annotation search and an annotated bibliography in one app
  • Find the interface dated for daily reading and writing
  • Prefer a plan you can pay for personally, monthly

Stay with RefWorks if you...

  • Get it free from your library and it covers your needs
  • Rely on OpenURL linking to your institution's subscribed full text
  • Write in Word with RefWorks Citation Manager all day
  • Value unlimited institutional storage on a paid subscription
  • Want the option of riding the EndNote Fusion transition with vendor support

Switching from RefWorks to Galio Research

Do this while your institutional access is still live. Most people rebuild their active library in an afternoon:

  1. 1

Export your references from RefWorks as RIS or BibTeX. It is your metadata backup: you may not need it, but you will sleep better.

  2. 2

Download your PDFs from your RefWorks account before your institutional access ends.

  3. 3

Upload your PDFs to Galio Research and connect your Google Drive for storage. New papers you find online import in one click with the browser extension.

  4. 4

Recreate your folders as projects, with tags and the include feature so one paper can live in many projects without duplicates.

  5. 5

Keep your RefWorks export file safe. Whatever Clarivate does with EndNote Fusion, your data now has a second home that follows you.
